Work from the guest journey
Look at arrival, ceremony, dining and departure as separate moments. Guests may move between spaces, and a restroom placed conveniently for one stage may be remote from another. Describe the venue layout and the facilities already available.
Discuss the guest count, duration and any mobility or family-assistance needs. A decorative screen can improve separation, but it must not narrow the route or hide an accessible entrance. The actual equipment and approach should remain easy to use.
Compare appearance with practical fit
An upgraded cabin and a restroom trailer offer different configurations. Ask about the proposed model rather than assuming every option includes the same amenities. For a trailer, confirm entry arrangements, footprint and utilities before making it part of the floor plan.
Keep supplier access away from key ceremony and guest-arrival periods where possible. Any placement must be agreed with the venue; a rental enquiry is not permission to install equipment on a hired or public property.
Agree the end-of-event details
Collection may take place after guests and other vendors leave. Confirm who can provide access then, where vehicles will be parked and whether the site is locked overnight. Include those constraints in the quote request.
Choose a contact who can deal with practical questions on the day without involving the couple in every handover. Share the schedule and remaining uncertainties early so the facilities can be planned alongside the rest of the event.
